Faculty & Staff Travel Registration (Draft)

THIS IS A DRAFT PAGE. Davidson College requires that faculty and staff traveling internationally for college-related or college-sponsored purposes register their travel through the form on this page.  Please carefully review the information on this page before getting started.


Faculty & Staff Travel Registration

The travel registration process is for any College employee traveling outside the United States or to overseas United States territories (e.g. American Samoa, Puerto Rico).  Travel registration helps Davidson locate you quickly in the event of an emergency, and ensures that all travelers have access to important information about the College's emergency insurance, travel policies, and other resources.  The process takes no more than 10 minutes.

Activities which require registration include but are not limited to: research trips, conference attendance or presentations, student recruitment, site visits, grant-funded travel, sabbatical travel, etc.

This registration is for independent or individual travel only.  If you are traveling abroad with students, please contact Lauren Stikeleather, Director of Education Abroad & Away for next steps.
 

Getting Started

In order to register, you will need your travel itinerary, including dates and all locations involving an overnight stay, and your emergency contact details.  Follow these steps:

  1. Click the red button

  2. You will be prompted to input your initial itinerary by clicking the black plus sign button (you will be able to edit this later)

  3. Search for your first destination and enter the start and end dates of your travel; click the plus sign to add additional destinations

  4. Once you have entered all planned destinations, click Continue

If you are a U.S. citizen, please enroll in the U.S. Department of State's Smart Traveler Enrollment Program (STEP) to receive important information from the U.S. Embassy about safety conditions in your destination country. This program will help the U.S. Embassy contact you in an emergency, whether natural disaster, civil unrest, or family emergency.

If you are not a U.S. citizen, please check to see if there is a similar service offered through the foreign ministry of your country of citizenship. You should also check the embassy website for your destination to confirm if you require a visa to enter. It may take up to 90 days to receive a visa and have your passport returned to you, so early preparation is strongly recommended.

Follow these instructions to input your itinerary:

  1. Click the Start Registration button to open a new travel registration

  2. In the itinerary box, select the dates and location for the first part of your itinerary

  3. Click the Add to Itinerary button

  4. Repeat steps 2-3 with the additional dates and locations for your journey until everything is added

  5. Move on to the next section

Please check to make sure that information is accurate before submitting. If your planned destination does not appear in the location list, please email edabroad@davidson.edu for assistance.

If you are taking part in multiple, separate international excursions or activities (e.g. for different purposes or funded by different offices), you should complete a separate travel registration for each.  If you are traveling to multiple locations, but they are all part of a single purpose or funded by a single grant, you should just complete one registration, following the instructions in the first FAQ to input each part of your itinerary.
